A Day in the Life: Bayfront Convention Center Senior Event Coordinator

Every day is consistently busy. Whether I am working with clients on an event that is in house, updating events that are within the week, month or year.  I am also responsible for the booking process of weddings. Although this wedding season is winding down, I’m already busy booking weddings for next year! My schedule on a daily basis is always changing, but as you’ll see my duties below, there’s never a dull moment:

*Book new weddings which requires several meetings with the bride & groom (and often times family members.) Lots of communication throughout the year via emails and phone calls. Conduct a tasting meeting to finalize menu and décor. Assist with the ceremony when hosted on site. Schedule a rehearsal and day of organization.

*Execute weddings, conferences, meetings and trade shows — that means I make sure all the details are communicated clearly and trouble shoot if last minute requests are made.

*Gather and update details in our operating system CRM – keep track of daily activities by entering them into the system.

*Communicate updates and details to the building staff and client daily. Sometimes changes are made up to the last hour and it’s my job to have direct contact with everyone.

*Attend meetings for upcoming and new events with clients. Review the details, walk through changes and update the information, give tours of the building in hopes to book new events.

*Attend a weekly staff and event order meeting.

*Follow up at the conclusion of each event.

*Finalize billing and make updates so that the system matches final dollar amounts.

*Often times acting MOD – Manager On Duty for evening and weekend events to ensure that the event runs smoothly and that everyone leaves our building satisfied.

I hope to work with you sometime in the future at our amazing facility which can manage events anywhere from ten people to hundreds of people!
